As with any acquisition, the melding of two organizations, where people, processes, and technology vary, can be daunting. Following the Bank of the West (BOTW) acquisition, BMO recognized the inconsistencies in how BOTW’s portfolio drawings were managed compared to BMO’s.
These drawings are used to inform strategies, review occupancy and existing layouts, plan design changes, and move management enablement. There was also a challenge in aligning and updating the processes and methodologies between the two organizations. This alignment was needed to ensure data consistency for future reporting and usability.
The solution
To address this challenge, BMO leveraged their partnership with Eptura to consolidate drawings, bring them up to BMO’s standard, and integrate them into the existing Serraview platform. Key Serraview features used include occupancy and space planning, move management, and strategic portfolio planning.

By consolidating into one system for space and occupancy planning and data insights, they eliminated the need for multiple systems and manual processes, creating a single source of truth. Alignment on migration scope and parameters early in the process was critical, along with constant communication and continuous progression. Led by Eptura’s project management team, the project plan, weekly meetings, and status reporting kept a good pace and allowed for continuous progression. Knowledge of the system allowed us to focus on providing key data sets, which helped with the seamless migration (e.g., alignment and mapping of space types and organizational units). The asks were clear and allowed BMO to provide the right information/data to assist with the migration.
